What makes this a good location a EuBIC-MS Developers Meeting?

Krusenberg Herrgård is a cosy manor by Lake Mälaren, some 35 minutes from Stockholm Arlanda airport. The venue consists of two main buildings, the 17th century manor house with a restaurant, lounges and meeting rooms, and a modern hotel building with additional lecture and meeting rooms. In addition, there are two large wood-fired saunas with shower facilities by the lake. There is also a bar and pool table in the manor house. The lake is often frozen in January, sometimes sufficient to allow ice skating (requires knowledge and safety equipment of course). Skokloster Castle is some 3-4 km away across the lake.
For the 2025 EuBIC developers meeting we would book most of the venue for ~60 participants

• 48 out of 59 available bedrooms (including 12 "proper" double rooms with separable beds)
• 1 large seminar room for the welcome and roundup/farewell
• 6 meeting rooms for the hackathon groups (large screen, extension cords)
• WiFi throughout the venue
• Coffee breaks in a common location to facilitate interactions between groups
• Stay hydrated: Plenty of water in the seminar rooms
• Breakfast, lunch and dinner in the manor house restaurant
  • one special, 2-course dinner (can be adjusted depending on budget)

All in all the venue is easily reachable, has enough space for up to 9 hackathon groups and with the venue nearly fully booked by us, the disturbance from other parties is minimal. The 10 available breakout rooms are of different sizes, accommodating groups from 4 to 22 people.

Connectivity

The venue is 35 minutes from Stockholm Arlanda airport or 20 minutes from Uppsala, in a rural location by lake Mälaren.

This option looks better than the two others in terms of number of rooms. But I suspect that Sweden may be very expensive. Do you have any idea of the price?

It is just that in the end... The price matters a lot when organising these events. Hard to talk feasibility without numbers, no? Also, there are potential sponsors listed, which is great, but it is not clear to me how much they would cover. Hence my question.

The quote from the venue is 662,730 SEK (currently 59,294 EUR) excl. 12% VAT. In my experience, it is difficult to get a commitment from sponsors for a hypothetical meeting (i.e. as long as critical details such as the location are unknown). This said, based on our sponsorships for a similar-sized meeting in Leiden in March, I am reasonably confident we can get at least 10,000 EUR in sponsorships from the companies and journals I know.

Another thing I just realized - to this venue people from Uppsala and Stockholm would in theory have the option to commute rather than stay on-site. Of course participants get a better immersive experience if they stay onsite, but perhaps this could still be offered as an option at a slightly discounted price? Just something to keep in mind if we decide to go with this venue.
