## Ways to prevent burnout

### Build a Team

Don't try to do everything alone. Delegate tasks and responsibility to other community members.

- Identify volunteers or interested community members who can take on specific roles (event coordination, speaker recruitment, social media, etc.).

- Create clear job descriptions or role documents so people know what's expected of them.

- Provide training and mentorship to help new organizers feel confident in their roles.

- Rotate responsibilities across your team so there is a proper balance of the workload to prevent any single person from being indispensable.

### Systematize and Streamline

Reduce repetitive work by creating processes and templates.

- Develop an event checklist that you can reuse for each meeting.

- Create email templates for common communications (speaker invitations, follow-ups, announcements, sponsorship requests).

- Use project management tools (GitHub Issues, Trello, Asana, etc.) to track tasks and share responsibility.

- Document your processes so others can help and so knowledge doesn't live only in your head. This will ensure continuity.

- Automate where possible (scheduled social media posts, email reminders, registration systems).

### Running your Group

- Find co-organizers to help shoulder the burden. We all have different skills, strengths, and weaknesses.

### Coping with burnout

#### Acknowledge it

- Don't minimize or ignore the signs—burnout is real and valid.

- Admit to yourself and your team that you're struggling, rather than pretending everything is fine.

- Recognize that burnout doesn't mean you're weak or failing; it means you've been giving without adequate replenishment.

#### Redistribute Responsibilities

- Identify tasks you're doing that could be handled by others and explicitly ask people for help.

- Be specific about what help you need rather than expecting people to guess.

- Use this as an opportunity to empower your team rather than just assigning tasks.

#### Practice Self-Care

- Get adequate sleep, exercise, and nutrition—these affect your resilience.

- Engage in activities that bring you joy and take a break.

- Spend time with people who support you emotionally.

### If you notice someone seems to be burning out

- Meet with them, outside of an official event, in a relaxed environment. Learn how they are feeling, work with them to determine how to deal with it if they are burning out.
